How does the booking in the SI work?

How does the booking work?

We offer fully equipped rooms that you can arrange to suit the needs of your planned event. The rental process is self-service. Therefore, as soon as we confirm your reservation, we will also send you instructions on how to use our facilities so that you can prepare for your event as effectively as possible.
You can find the amenities and dimensions of a specific room on its page, and check its availability on the calendar at the very bottom of that same page. If you’d like to get a better idea of what we offer, you can schedule a tour of the rooms by emailing rezervace@skautskyinstitut.cz.
You can make your reservation here.

Do you offer a student discount?

Some of our rooms offer discounted rates for students in the evening. These are spaces for group work, studying together, or playing board games and hanging out after the last lecture of the day.
Students can rent the Antonín, Benjamin, and Vlasta club rooms, or the Kajuta and Maják meeting rooms, every day between 6:00 PM and 10:00 PM at a reduced rate. Simply select one of the rooms mentioned in the reservation form, enter your ISIC number in the notes section along with the purpose of your reservation, and finally check the box "I am eligible for a student discount." We process reservations on weekdays by 4:00 PM.
Please note that these reservations are not intended for hosting open events.

I've submitted the form. When will you confirm my reservation?

We must manually review and confirm all reservation requests to ensure that we can provide you with all the services you’ve ordered.
That’s why we recommend making your reservation at least one day in advance. Once we confirm your reservation in the system, you will receive a confirmation email containing not only the date and price but also instructions on where to pick up the keys, how to use the equipment in the room, where to place the directional signs, etc.

I need to change my reservation. Is there a fee for that?

You can make any changes to your reservation and the services included in it up to 7 days before the reserved date.
If, after this date (for example, due to a smaller number of participants), you need to shorten your reservation, reduce your catering order, or limit technical assistance, we may, depending on the specific situation, charge up to 100% of the amount you would have paid for these services.
However, we will always assess this based on the extent and timing of the change.

I need to cancel my reservation. Is there a fee?

You can cancel your reservation free of charge no later than 7 days before the reserved date.
If you cancel your reservation within the following 5 days, the cancellation fee is 50 % of the total amount. If you cancel within the last 2 days before the date, the cancellation fee will be 100 % of the total amount.
If you have ordered catering, additional serving, or technical services, the fees for these additional services are included in the total rental amount and are therefore part of the cancellation fee.

How can I cancel my reservation?

Please email us at rezervace@skautskyinstitut.cz, ideally as a reply to the message in which we confirmed your reservation (this will help us locate your reservation as quickly as possible). We consider the cancellation date to be the moment your cancellation request arrives in our inbox.

Can I rent the entire house?

If you'd like to host a wedding, conference, or other large event with us, you can rent either expanded space or the entire house. You can find more information about hosting large events with us here.

Is there anything else I should know?

You will find the most important information about your reservation in the confirmation email you receive. There are also Terms and Conditions regarding the use of the premises. By making a reservation, you agree to comply with them. We assume that you have read them and that you understand that specific penalties may apply for any violations.
If anything is unclear, please do not hesitate to contact us at rezervace@skautskyinstitut.cz, where we will be happy to answer your questions.

What should I know before making a reservation?

How can I tell which category my reservation falls into?

The basic rate for reservations is "Public". This includes all events organized by any member of the public. However, this category also includes businesses.
The "Non-Profits" rate is intended specifically for registered non-profit organizations.
The “Scouts” rate is for the needs of scout troops and groups (which is why their details must be included in the reservation). This also includes programs organized for troops by someone else, but in such cases, it is best for the troop leader to make the reservation anyway. This rate is not intended for adults who were in scouts as children and now need a space for a work meeting.
The “Scout Institute residents” rate is for employees of other organizations based in the SI building.
The “Scout Institute employees” rate is for SI employees.

Can my reservation start before the Institute opens?

Our opening hours follow the café’s current schedule, which is from 9:00 a.m. in the winter season and from 10:00 a.m. in the summer. In both cases, reservations can be made starting at 8:00 AM, but please note that you will need to enter through the reception area and that the café will open later.

Can I rent a room even when the Institute is closed?

In the event of holidays or technical issues, we close the café — and therefore the entire building — to the public. If the planned rental can proceed (i.e., there is no emergency), you can count on your reservation.
Since the building (and consequently the café) will be closed, you will need to provide your own refreshments, resolve any technical connection issues on your own, and, most importantly, expect that you will not be able to come and go freely. You will always need to ask the doorman to unlock the door to enter.
So, if you bring your own refreshments, or perhaps schedule a lunch break during which participants are free to leave, and inform the program participants that they will need to ring the bell at the front desk to enter the building and later find their way to the rented room, the rental should not be a problem.

Can I arrive before the reservation starts to set up the room?

Unfortunately, no, because you are reserving the total time during which you have access to the room. Any time not reserved by you is made available to other users, so you cannot assume that the room will be available.
The same applies to the time needed to clean the room - this must also be included in the reservation.

Is Scout Institute wheelchair accessible?

Unfortunately, the building is not wheelchair accessible.
There is a single step about 15 cm high in front of the entrance, which can be crossed using a ramp that the receptionist will bring to you after you ring the bell. To move between the ground floor and the 1st–3rd floors, use the elevator (door width 80 cm, elevator dimensions 110 x 130 cm).
The doors to the reservation rooms are 90 cm wide; usually, you’ll need to step over a higher door threshold.
The accessible restroom is located next to the staircase on the 3rd floor.
Please note that additional stairs must be navigated to access the Minuta, Otýlie, Ludvík, and Vlasta rooms.

Planning the event

How can I find out when a room is available?

You can view the calendar, which is located at the bottom of each room’s page. The best overview is available under the “Week” option.
However, you can confirm availability by filling out the reservation form with the room, date, and time. If the form does not allow you to select certain time slots, it means they are already booked.

How do I choose between the rooms?

In addition to the equipment you need for your event, we recommend that you also consider the number of attendees to ensure everyone fits comfortably in the room.
You may also want to know which floor the room is on and whether it’s located near a lively hallway or tucked away further inside the building.
You can find an overview of all rooms here, and more detailed information is available when you open the page for a specific room.

How can I customize the space?

You can arrange all the furnishings in the rooms however you like, or add your own items.
Unfortunately, you cannot stick anything to the walls, windows, or doors, as this damages the surfaces.

I’m missing some equipment - where can I get more?

You have access to whatever is listed as part of the room in the description, or whatever you selected in the relevant section of the reservation form, or whatever was agreed upon individually.
Unfortunately, for operational reasons, it is not possible to borrow additional tables and chairs from the balconies or the café.

Will you set up the room for my event?

Event production is not included in the rental; rentals are self-service by default. We rent out fully equipped rooms, so everyone can customize them to their liking. However, at the end of the event, you must clean everything up so that the next group can use a clean space.
If you’re interested in booking our production services to handle this for you, please email us at rezervace@skautskyinstitut.cz.

Will you provide refreshments?

Yes, we can provide refreshments if you order catering along with your rental. You won’t be able to add catering during the booking process, so we recommend reviewing our menu to ensure your order is sufficient. You can place your order directly in the booking form, which will also calculate the price for you.
If you have already submitted your reservation, you can email us at rezervace@skautskyinstitut.cz.
Please note that your order must fit within the capacity of our kitchen, so we will confirm your catering order once we have checked the availability for that specific date. For this reason, we recommend ordering catering as soon as possible.
If you don’t want to order catering, don’t worry - you can always check out what the café is currently offering.

Can I plug in an electrical appliance in the room?

You may not plug in electric kettles, coffee makers, microwaves, heat guns, or other appliances in the rented space. You may plug in a phone or laptop charger, but the total power consumption of all electrical appliances in use at the same time in the room must not exceed 2,300 W.

Navigation and Promotion

This is my first time visiting. How do I find the room?

We recommend visiting the building before the event, walking the route to your preferred room, stopping on the balconies, and soaking up the local atmosphere.
The building is always open during the café’s hours, but if you’d like to take a look inside the specific room you’re interested in, please arrange a tour at rezervace@skautskyinstitut.cz.
You can easily find your way around using the numbers assigned to the rooms. For example, Minuta 125 is on the first floor, Kajuta 202 on the second, and Vlasta 317 on the third floor.

Do you have a map or floor plan of the building?

Each room's page includes a floor plan showing how to get there. You can download the image and attach it to the invitation for your guests.
The floor plan also shows the restrooms.

Where can I put up directional signs?

We recommend that event organizers use the A-frame signs, which are placed on all floors, including the ground floor. If you need more, please check the first floor, where you’ll find additional A-frames in the area between the café and the balcony. You can attach your pre-printed sign to the A-frames, or borrow a chalk from the reception desk and simply write the sign.
We recommend also writing the date and time of the event on the A-frame. If you move an A-frame from its original location, you must return it to that spot when the event is over.
Signs may not be posted on walls, railings, glass, or door frames.

Where can I put up posters promoting my event?

You can post your promotional materials on the bulletin board right next to the café entrance, but unfortunately we cannot guarantee that they will stay there for very long since the SI is a public building.
It is not permitted to post anything on the walls or on the glass and frames of the balcony, and violations will be subject to a fine.

Resolving problems

What if something comes up during the reservation and I need help?

In every room, you’ll find a box mounted on the wall labeled “PŘEČTI SI,” which contains printed instructions for using the room. There you’ll find both troubleshooting tips and contact information for people who can help you resolve any issues.

I’m being disturbed by noise from the hallway during the reservation - what should I do?

Any urgent issues can be resolved by calling the phone numbers listed in both your confirmation email and the PŘEČTI SI box. If the matter is serious, you can also contact the front desk.
However, please note that the Scout Institute building is a semi-public space that is freely accessible during the café’s opening hours. We recommend stopping by here at SI before making a reservation - or at least before your planned event - to see if the lively atmosphere of the building suits your event. You may also want to consider a room in a quieter part of the building.
