FAQ

How does the booking work?

We offer equipped rooms that you can arrange for the needs of your planned event. As soon as we confirm the reservation, we will also send you instructions on how to work with our spaces so that you can prepare them as best as possible.
You can find the availability of a specific room above on this page. If you want to get an accurate idea of what we offer, you can arrange a tour of the rooms by email at rezervace@skautskyinstitut.cz.
You can make the reservation itself here.

How should I choose between the rooms?

In addition to the equipment you need for your event, we recommend paying attention to the number of attendees you need to comfortably fit into the room. Next, you may want to know what floor the room is on and whether the room is near the pavilion where it lives or if its hidden further down in the building. You can find more information by opening the specific room page.

Where can I find the availability of the rooms?

You can see the calendar at the end of each room's page. You can get the best overview under the "week" option. However, you can actually confirm availability by filling in the room, date and time on the booking form. If the form doesn't allow you to select certain hours, it means they are already booked.

Can I come before the reservation and prepare the room?

Unfortunately not, because you book the total time you have access to the room. The time that you do not block is offered to others, so you cannot count on the room being available. The same applies to the cleaning time - this must also be included in the extent of the booking.

Can I order catering directly from you?

Yes, if you order catering with your booking. You will not be able to order more during the event, so we recommend you review our menu to ensure your order is sufficient. You can place your order directly on the booking form, which will also calculate the price for you.If you have already submitted your booking, you can email rezervace@skautskyinstitut.cz.It is always the case that the order must fit into the capacity of our kitchen, so we will confirm the catering after we have checked the capacity for that particular date. For this reason, we recommend ordering catering as soon as possible. If you don't want to order catering, you can always check what the café is currently offering.

What can you do for me in regards of the room preparation?

The production (i.e. preparation) of the event is not part of the rental. We rent the rooms equipped, so everyone can customize them to their own image. However, at the end of the event, everything needs to be cleaned up again so that those who come after you can work with a clean space.

I have filled the reservation form, when will you confirm my request?

We have to manually review and confirm all booking requests to make sure we can provide you with all the services you have booked. Therefore, we recommend booking at least one day in advance, on a working day.Once we have confirmed the booking in the system, a confirmation email will be sent to you which, in addition to the date and price, will also give you instructions on where to pick up your keys, how to operate the equipment in the room, where to place the directional signs, etc.

I need to alter my reservation, is there a fee?

You can modify the reservation and the services ordered in any way up to 7 days before the event date. If you need to shorten your booking, reduce your refreshment order or reduce your technical assistance after this date (for example, due to fewer participants), we may claim up to 100% of the amount you would have paid for these services, depending on the specific situation. However, we will always assess this based on how big and how late the change is.

I need to cancel my reservation, is there a fee?

Cancellation is free if done more than 7 days before the event. Any changes to the reservation less than 7 days before the event may becharged up to 100% of the original price. Cancellation less than 7 days before the event is 50% of the total price; Cancellation less than 2 days before the event is 100% of the total price.

How can I cancel my booking?

Send an email to rezervace@skautskyinstitut.cz, ideally in reply to a message confirming your booking (this will help us find your booking the quickest). We consider the cancellation deadline to be the moment your cancellation request lands in our inbox, so this can avoid a possible cancellation fee.

Where can I find room XYZ?

You can orient yourself by the numbers assigned to the rooms. You will find Minuta 125 on the first floor, Kajuta 202 on the second floor and Vlasta 317 on the third floor. There is also a floor plan on the page of each room.Event organisers are advised to use the black "A" signs for navigation, which are located both on the ground floor by the reception desk and on the first floor in the area between the café and the pavilion. You can stick your pre-printed directional sign on the A's, or borrow a sponge and chalk from the concierge and simply write your directional sign.Directional signs cannot be taped to walls, railings, glass or door frames.

Is the space barrier-free?

Unfortunately, it's not. In front of the entrance there is one step about 15 cm high, which can be climbed using a ramp, which will be brought to you by the doorman after ringing the bell. To move between the ground floor and the 1st - 3rd floors, use the lift (passage width 80 cm, lift size 110 x 130 cm). The doors to the booking rooms are 90 cm wide, usually requiring a higher door threshold. Please note that to access the Minuta, Otýlie, Ludvík and Vlasta rooms, you will need to climb additional stairs.

How can I modify the room?

You can arrange all the room furniture to fit your specifications, or add your own. Unfortunately, gluing anything to the walls, glass or doors is not possible, as it damages the surfaces.

However, it is important to return the room to its original state.

I'm missing equipment, where can I find more?

What is included in the room description or what has been individually agreed by email is available to you.

Unfortunately, it is not possible to borrow additional tables and chairs from the pavilions or the café.

Where can I place promotional materials for my event?

You can stick the promotional materials on the board next to the entrance to the café. Sticking anything on the walls or on the glass and frames of the pavilion is not allowed and violations will be fined. Flyers can be placed in the bookcase on the 1st floor pavilion.

I'm disturbed by noise from the hallway during the reservation, what can I do?

Any urgent problems can be dealt with via the phone numbers provided in both the confirmation email and the PŘEČTI SI box. If it is something serious, the reception can also be contacted.

However, it is good to note that the Scout Institute building is a semi-public space that is freely accessible during café opening hours. We recommend stopping by before making a reservation, or at least before planning an event here at the Old Town Hall, and considering whether the atmosphere of the whole building suits your event. It is also possible to consider a room in a quieter part of the building.

What if something happens during the booking that I need help with?

In each room you will find a box on the wall marked PŘEČTI SI with the instructions on how to use the room. There you will find solutions to problems and contact details of people who can help you solve them.

Anything else I should know?

The most important information about your reservation is the confirmation email you will receive. Then there are the Terms and Conditions regarding the use of the premises (we refer to them in the booking form) By making a booking you agree to abide by them.We will assume that you have indeed read them and that you take into account that you may face specific penalties for breaching them.

If anything is unclear to you, please do not hesitate to contact us at rezervace@skautskyinstitut.cz where we will be happy to answer your questions.
